An important component of storage management best practices is the monitoring of end-user compliance with established storage policies. In conjunction with that, there is the need to notify users as to the status of their compliance. In today's storage environments this can only be done cost effectively in an automated fashion, which is where NTP Software QFS® comes in.

A major advantage of NTP Software QFS is the ability to send multiple messages at various points in the lifecycle of a storage limit (quota). But to quote a Spiderman movie, "With great power comes great responsibility." The question often comes up - how many times should you notify the user as they approach that 100% threshold, which often means that they can no longer add more data to the storage location. Every company needs to look at their particular situation to determine what is best for them. However, our experience shows that between three and six notifications is the right range for most situations.

The only notification point that is universal is 100%, as that is the target limit. It seems a bit senseless to send out notifications at other points, but not at the 100% threshold. This is especially true of hard quotas that prevent the user from copying more data once they reach that fateful 100% point. The best point for the rest of the notifications is subjective, but the 2nd typical threshold is 50% or 75%. We see 75% as being the most popular. That brings us to the third notification level that rounds out the minimum recommended by best practices. With QFS you have the ability to enable messages to "Other Recipients". Using this feature, you might want to use this third notification to inform the helpdesk, a supervisor, or whomever, that the applicable user is over 90%. This will give them a heads-up that trouble may be around the corner for this user.

Some companies prefer to notify users at 6 or more thresholds. Since NTP Software QFS allows for up to 200 thresholds on a policy, you can certainly go beyond three or even six. But bear in mind that too much notification can back-fire, as your users get sick of constant reminders. Three to six seems to be the happiest place for user satisfaction.

Notifying users of the status of their compliance with storage policies is a necessary activity. Doing it in way that is effective and helpful to users is the key. NTP Software QFS has various features to make it easy on both the storage administrators and the end-user community.
